Box office and orders

The desk and the website agree.

A box office that sells from what is actually on today, and an orders list that finds anything, including by barcode.

A counter with a card reader, a ticket and a receipt curling over its edge.

The problem

The desk sells from a different system to the website, and a refund at scale means working through orders one at a time.

Two systems
Hard to find
Refunds one by one

What we built

One system for the desk and the website, search that finds an order from a barcode, and bulk refunds with a preview.

One system
Found by barcode
Previewed refunds

What is actually in it.

Selling at the desk

A catalogue of what is on today, grouped for quick picking.

  • A date and session strip showing live availability
  • Tickets and products in one cart, with customer details
  • An optional company name and ABN on the sale
  • Cash with change worked out, card on a connected reader, or complimentary
  • Box-office-only items sell over the counter while hidden online
  • Sell annual passes and apply promo codes at the desk

Finding an order

The last seven days first, then the rest in the background.

  • Search by name, email, phone or any field
  • Filter by status, event, date or payment type
  • Type BC: and a barcode to find a pass’s order
  • The order page shows customer, payment, items, notes and passes
  • Promo and member savings shown on the order
  • Resend the confirmation, choosing who it goes to

Refunds

A whole order, single lines, or single passes.

  • Partial refunds stack correctly
  • A promo order is refunded at what the customer actually paid
  • When a refund cannot go ahead, the message says why
  • Bulk refunds for a whole event, or chosen sessions, tickets or dates
  • A bulk refund previews orders and amounts, and matches it exactly
  • Refunded passes stop working, and staff are alerted if one still does

Customers and enquiries

One numbered record per person, with the full history.

  • Several emails and phones on one record
  • Search by name, email, phone or customer number
  • Every order matched to the right customer automatically
  • Likely duplicates flagged, then merged or dismissed
  • A merged record remembers where it came from
  • An enquiries inbox with status, notes and the order it became
  • A day block with three session bars on its face and a glowing dot on its corner.

    What is on today

The desk sells from live availability, not a list.

  • A magnifier held over a square code panel.

    Found by barcode

Type BC: and a code to land on the order.

  • A receipt with one of its lines lifted away from the rest.

Refund a line, or a pass

    Partial refunds stack correctly.

  • A stack of three receipts with a tick badge on the top one.

    Bulk, with a preview

Orders and amounts shown before it runs.

  • A ticket with a cross laid over it.

    Passes stop working

And staff are alerted if one still does.

  • Two contact cards overlapping and merging into one card behind them.

    One record per person

    Duplicates flagged, merged, and remembered.

Box office and orders questions

Can the desk sell things the website cannot?

Yes. Box-office-only items sell over the counter while staying hidden online, and the desk can sell annual passes and apply promo codes.

How do we find the order a pass belongs to?

Type BC: followed by the barcode in the orders search.

Can we refund part of an order?

Yes. A whole order, single lines or single passes, and partial refunds stack correctly.

What about refunding a whole cancelled session?

Bulk refunds cover a whole event or chosen venues, sessions, tickets or dates. You see a preview of orders and amounts first, and the run matches it exactly.

Does a refunded pass still scan?

No. Refunded passes stop working automatically, and staff are alerted if one still does.
