Memberships and annual passes

Members you can actually keep.

Programs, tiers and selling rounds you set once. A member number that lasts for life, a card that updates itself, and renewals recognised the moment they are bought.

Two membership cards, one just behind the other, each with a photo panel and detail lines.

The problem

Memberships bolted onto a ticketing system lose the thread: new numbers each year, cards that go stale, and no idea who stopped visiting.

What we built

A membership system in its own right, where the number is the person, the card keeps itself current, and the dashboard shows who has stopped coming.

One number for life
A card that stays current
Dormant passes surfaced

What is actually in it.

Programs, tiers and rounds

One structure that lasts for years, set up once.

  • Annual passes, club memberships, summer passes, carnival passes, trials
  • Rolling terms from activation, or fixed rounds that end together
  • Length per tier: 12, 6 or 1 month
  • A quota per tier and a capacity per round
  • Existing members always keep the price they paid
  • What a tier includes is frozen once sold

Joining, activating and renewing

The clock starts when the member activates, not at payment.

  • Buy three and you have three memberships to hand out
  • Who is this for: me, a child, or someone else entirely
  • Photo capture and an application form at activation
  • Renewals recognised automatically, starting the day the old one ends
  • A renewal keeps the same number and usually the same barcode
  • A friendly stop, not a block, when someone already holds one

The card, the app and the gate

One card in the wallet, current after every change.

  • Apple and Google Wallet cards with name, photo, number and expiry
  • A date change or renewal refreshes the card; a refund voids it
  • An installable member app, sign in by email link, works offline
  • Pair a second phone, see every paired phone, remove one
  • Member cards scan at the gate, one visit a day
  • Each tier sets which events and zones it admits into

Member prices, families and guests

Recognised at the cart, with no code to type.

  • Members-only prices apply automatically once recognised
  • Full price struck through, the saving, and what you pay
  • Limits per member, counted on the member number
  • Children sit under a parent account with their own number
  • Organisation memberships with cards and a responsible contact
  • Guest cards shared by link, claimed in the guest’s name

Running it from admin

Who is due, who has lapsed, and who has stopped visiting.

  • An annual pass dashboard with dormant passes and top visitors
  • Unactivated passes, and alerts for anything odd
  • A roster filtered by all, expiring in 30 days and expired
  • Renewals due in 30, 60 and 90 days, lapsed and renewed
  • Merge duplicate members, and move a membership to the right person
  • Bring an existing base across with numbers, photos and dates intact
  • A membership card with an infinity loop resting on its lower corner.

    One number, for life

The number is the person, not the email address.

  • A membership card with a circular refresh arrow at its upper corner.

    A card that stays current

Renew or change a date and the card refreshes.

  • A card leaning against a price tag with a tick on it.

    Member prices, no code

Recognised at the cart, with the saving shown.

  • A membership card being passed from one hand to another.

    Guest cards, claimed

Share a card and the guest puts their own name on it.

  • A turnstile with a card resting against its reader.

    One visit a day

The barcode always finds their current membership.

  • A bar chart of three blocks, with a magnifier over the shortest, paler one.

    Who stopped visiting

The dashboard surfaces dormant passes and top visitors.

Memberships and annual passes questions

Does a member get a new number every year?

No. One member number per person, per operator, for life. A renewal keeps the same number and, unless the tier says otherwise, the same barcode.

When does a membership actually start?

When the member activates, not when it is paid for. One purchase is one person, so buying three gives you three to hand out.

How do members get their price?

They are recognised by a personal link from the app or their emails, or by member number at checkout. The price applies at the cart with no code to type.

Can we move our existing members across?

Yes. An existing member base comes across with numbers, photos and end dates intact.

How do we find members who have stopped visiting?

The annual pass dashboard lists dormant passes, top visitors and unactivated passes, alongside alerts for anything odd.
